Virtual Participant Guide

Overview

The POD Network remains committed to providing accessible learning experiences. The Conference Committee has developed opportunities for virtual participation that are integrated with the conference experience on the ground in Baltimore. In addition to PODTalks and Research Sessions, several key conference events will be live streamed, including the Presidential Address, Keynote Session, Awards Presentation, and Anchor Session.

Background

This year, the POD Network is continuing its strategic, phased approach to hybrid conference programming by emphasizing quality, consistency, and long-term sustainability. PODTalks and Research Sessions are again being offered as hybrid concurrent sessions with dedicated technical support. This investment helps ensure a stable and engaging experience for both virtual attendees and presenters.

By focusing our resources on these session types, we aim to refine our hybrid delivery while laying the foundation for future expansion. Our goal is to build a reliable and scalable infrastructure that supports a more equitable and accessible conference experience.

Virtual Broadcast Presentations

The 51st  Annual POD Network Conference is powered by Whova, a conference mobile app. Through the Whova platform, attendees can view sessions, personalize schedules, network with colleagues, and engage in real-time updates both on the ground in Baltimore and virtually.

Each broadcast presentation (PODTalks and Research Sessions) will occur in Baltimore in a designated room. The room is equipped for livestreamed presentations. A Zoom link will be designated for each concurrent session.

Technology

All hybrid and virtual presentations will be scheduled for the Eastern Time Zone. Any times indicated in communications will be Eastern Time (EST).

Zoom

Presentations will use Zoom. Zoom links will be set up as meetings with streamlined participant engagement. Every hybrid and virtual presentation will be automatically recorded to the cloud.

Recommendations

For an optimal experience as a virtual attendee, we recommend using Zoom desktop client application rather than a web browser. Download the app on your device.

If you must use a browser, we suggest Google Chrome, Firefox, Safari, or Chromium-based Edge for speed and performance.

How to Join

Join a hybrid or virtual presentation by referring to the schedule on Whova:

  1. Log in to Whova at: https://whova.com/portal/webapp/Ckdytz31LQyydmFNAaAs/
  2. Go to Agenda
  3. Find Virtual Broadcast sessions

For each presentation, please join on time. Presenters are instructed to begin within 5 minutes of the session start time.

Engagement

All hybrid and virtual presentations will be set up for community conversations in the Zoom chat and/or questions for the speakers with the Q&A features on Zoom.

Accessibility

Captions

To access captions in a Zoom webinar as an attendee, locate the “Show Captions” or “Live Transcript” button in the meeting controls, usually at the bottom of the Zoom window for computer monitors and desktop devices. Clicking this button will enable live captions which will appear on your screen. (If the button is unavailable, it might be under the “More” button.)

You can also adjust caption settings (e.g., font size and color), if available, by clicking the up arrow next to the “Show Captions” button.
