POD24 49th Annual Conference

Dear {name},

After our email last month announcing the new dates for the 49th Annual POD Network Conference — taking place in Chicago, IL from November 10-14, 2024 — we've received some questions about the new schedule and, in particular, opportunities for virtual participation. I'm writing today to provide some additional information in response to those questions.

Several factors—including volunteer capacity, declining online conference participation, and survey feedback from members and online attendees citing a lack of equity and belonging—led to the decision to put a hold on the execution of a concurrent online conference for this year. This pause offers the opportunity to be thoughtful in the development of new virtual learning and networking programs that address these critical concerns with greater intention.

In recognizing that these changes may not work for all members, the Conference Committee is developing an annual conference with integrated virtual components along with the on-the-ground elements in Chicago.

We appreciate all who shared their concerns or enthusiasm for the change in the survey included in last month's message. The POD Network Leadership and the Conference Committee are committed to being responsive to our members' needs and concerns.

Below are responses to frequently asked questions we’ve received in response to the changes, including more information about opportunities for virtual participation.

Thank you,

Danielle Gabriel

Executive Director

FAQ

The concurrent online conference offered an accessible option for my participation. Without an online conference, I am unsure of how I will be able to be a part of the Annual POD Network Conference. How will I be able to participate this year and are there any plans to host an online conference in the future?

The POD Network remains committed to providing accessible learning and networking experiences. While there will not be a concurrent online conference this year, the Conference Committee is developing opportunities for virtual participation that are integrated with the conference experience on the ground in Chicago. As noted in the call for proposals, presenters who have a need to present virtually will have the opportunity to express their needs following the acceptance of their session proposal. At that time, the Conference Committee will assess the capacity for hybrid presentations and attempt to make arrangements for as many hybrid presentations as we are able, given our budget and volunteer capacity, as they do in the same way for determining the number of on-the-ground presentations. Virtual presenters will be presenting to both on-the-ground and virtual participants. We encourage all who would like to present to submit a proposal no matter their need. We kindly ask for your patience while we navigate this new hybrid option. In addition to hybrid sessions, the Presidential Address, Keynote Session, on-the-ground PODTalks, and Anchor Session will be live-streamed. More plans for virtual learning and networking are in development and will be shared as plans are solidified.

Discussions for the development of comprehensive virtual learning and professional development are ongoing, with the aim of developing a virtual experience that is responsive to POD Network member needs.

Missing a full workweek will be difficult. Is there any way for me to participate for only part of the week?

Yes! One and two-day registration options will be available at a reduced rate. While it is hard to miss out on days of conferencing, we encourage you to connect with Special Interest Groups (SIGs), Affinity Groups, and other members to get the post-conference download on sessions of shared interest. Committees & SIGs will host meetings prior to the conference and offer a great opportunity to make connections with colleagues.

I’m in for the workweek conference, but I am not sure that I will have the travel funds to attend. Are there any opportunities to apply for funding from the POD Network?

Yes! The Committees and SIGs of the POD Network offer several fellowships and travel grants that cover conference fees, and at times travel and a year's membership to the POD Network. In the past, these opportunities have included the GPPD Career Development Award, the Donald H. Wulff Diversity Fellowship, and the Adjunct Faculty SIG Travel Grant.

Last year, the POD Network launched a Needs-Based Financial Assistance Program as part of our efforts to lower barriers to participation in the conference, which will continue this year. Financial need will be determined based on applicants’ self-reports of lacking financial support from their institution or not having received other funds through the POD Network.

Please be on the lookout for our calls for applications for these programs over the summer months.

I have family and caregiving responsibilities. Are there resources available to assist with caregiving responsibilities?

A childcare room, staffed by a licensed childcare provider, will be available during the conference, should you choose to bring your young children with you to Chicago.

A lactation room will also be available for those who may need it.
